Planon - Facility Status

In Planon we implemented a new status field used to track the status/phase of the facilities lifecycle.

What:
The new field is called Facility Status. This data was previously tracked in the User-defined Status field.

Background:
The Facility Status field will be used to track the status of the facilities while they go through the phases of construction and their lifecycle.  The user-defined status field will remain, but for Properties, Construction History and Complexes they will either be 'active' or 'inactive'.  
  • Active - any facility that was ever studied, purchased, sold, planned, designed, constructed, razed, leased, being demolished, out of service.
  • Inactive - facilities that were combined into one facility number, historical complex placeholders or duplicate records from old systems.

Why:
  • We added the new field because many users were running into issues if the facility was not in the 'active' status. They could not create orders, service requests, have the payroll and addressing systems find the correct buildings, etc.
  • It is important to track the phases of the building (see list below) for reporting and historical university data, but all of the statuses other than 'active' resulted in the facilities being unavailable in certain systems or in certain picker lists.
  • Making this change should resolve these issues by keeping the buildings in an active status throughout the lifecycle.

What to do:
  • If everything is working as expected, you likely don't need to do anything.

  • If any of the data in the systems you are maintaining is pointing to the User Defined Status field for Facilities Data in the EDW or Planon, you may need to switch to the Facility Status field.
  • You may also need to filter out any of the statuses that you don't want to appear for use in your specific area.
    • example: service requests should filter out buildings that are razed, never built, never purchased, lease expired/terminated
